Confirmation

Your child’s place on an Club Amigos Spanish after school Club can be reserved by email ONLY. It will be secure, once full payment has been received. If payment for a Half Term has not been received, 24 hours prior to the commencement of the given Half Term, then the place or places will be offered to another party. Once payment has been done by the parent/carer that will be the confirmation of attendance.

Booking

Responsibility for the details of bookings and payment lies with the person making the initial booking. Places are allocated on a strictly first come first served basis. If the Spanish Club session/s you require is fully booked, you will be placed on a waiting list. In the event of a space becoming available, Club Amigos will contact you. If for any reason, a participant withdraws from a session after being accepted, Club Amigos reserves the right to withhold the full Half Term/session fee. This also applies to sickness.

Payment

All accounts must be paid in full in advance for the participant to attend Club Amigos sessions.Invoices are emailed once parents confirm dates children will attend half termly and are due to be paid before the start of each half term.After School Club invoices can be paid using cash, cheques, BACs or childcare vouchers. We accept most childcare vouchers. Please contact us if you would like our childcare voucher provider account details. You will need to let us know which voucher provider you use so we can give you the correct information.Any overdue balances from previous bookings must be paid before we proceed with a new booking.

Personal Property

All personal property is the participants’ responsibility, unless loss or damage is proven to be due to Club Amigos’s negligence. Expensive and/or treasured items should not be brought to Club Amigos.

Meals and Snacks

Participants are advised to bring their own water-based drinks and snacks to Club Amigos with their name clearly labelled. Please note that Club Amigos is a NUT-FREE ZONE and any nut based products brought into the premises will be confiscated and returned to parents at the end of the day.

Insurance

All participants are covered by Public Liability Insurance whilst at Club Amigos, however Club Amigos cannot be held responsible for any act, omission or loss or damage unless proven to be caused by Club Amigos’s negligence. Our Morton & Michel policy number is: GR0039689

First Aid

There will always be at least one Certified Appointed First Aider each day. In the event of an accident, first aid will be administered to participants in our care and if necessary, the emergency services will be called. PLEASE ENSURE TO FILL IN THE MEDICAL FORM FOR YOUR CHILD IF APPLICABLE. PLEASE PROVIDE US WITH THE NECESSARY, IN DATE, MEDICATION FOR YOUR CHILD.PLEASE BEAR IN MIND THAT CLUB AMIGOS IS A SEPARATE ENTITY TO BPS AND THEREFORE WE ARE REQUIRED TO HAVE OUR OWN SUPPLY OF NECESSARY EMERGENCY MEDICATION IN CASE OF EMERGENCY. PLEASE REMEMBER THAT THIS IS FOR YOUR CHILD’S SAFETY.Remember that the school office closes at 4pm and in case of an emergency club amigos will not be able to have access to any medication provided to BPS for your child.

Arrival & Departure

Each participant will be registered at the start of the day of each session. Parents/carers will inform the school or Club in the case of non attendance.

Photography

During Club Amigos sessions, photographs / videos may be taken of participants during course activities. These images may be used for publicity purposes in an image, on video, on our website, or in printed publications. Should you not wish your child’s picture to be taken, please fill in the appropriate form enclosed (Permission to use photographs).

Club Amigos Equal Opportunities

We consider language, behaviour or action that is designed to be offensive or creates discrimination to any user of the Service or member of staff, unacceptable and will not be tolerated. If any behaviour at Club Amigos is considered inappropriate, the offending pupil or pupils will be given a clear warning. If the behaviour persists, the child or children will be seated at another table. If a pupil continues to ignore the teacher and is considered to be affecting the equilibrium of the whole class, then a parent will be called and the pupil asked to leave. No refund will be issued. Please also note Club Amigos follow the similar Code of Conduct of BPS. Please read (Behaviour Management Policy).

Data Protection

We may use details to contact you with future information. Please advise Club Amigos at any stage if you do not wish to be included in our mailing list.The data contained on all the forms will be used by Club Amigos for the purposes of operating, administering and marketing our Spanish Club After School. Your email address will be used to email invoices, newsletters or other relevant information. Your information will be kept securely on our company database (electronically) and in the club (on paper). Your data will only be accessible to Club Amigos employees who need to access it. Your personal information will not be provided to any third party for marketing purposes. None of your personal information will be passed to any individual or organisation outside of Club Amigos without your knowledge unless required by law.

Club Amigos endeavours to satisfy all our valued participants. If you have any concerns or suggestions please tell us and we will make every effort to rectify matters.

As an Spanish after school club focusing on learning a second language, we are exempt from OFSTED registration but due to parents' demand, we have been registered with OFSTED since February 2016.

Ad Hoc/Drop in Sessions

If we have spaces available we are happy to accept your child for ad hoc (drop in) sessions.Children need to be pre-booked via Club Amigos email moc.liamg%40sogima1bulc and www.clubamigos.co.uk. Individual sessions cannot be cancelled or swapped.

Cancellation of After School Club Places

Club Amigos sessions are none refundable.

Unexpected Closure

If an After School Club is closed unexpectedly (for example, due to snow, school closure), we still have all of our on-going costs, and you are still required to pay for the session.We do not build in a contingency to cover the club being closed. Providing an affordable service is very important to us, and we work really hard to keep the costs to a minimum.FROM REOPENING IN NOVEMBER 2020 AND UNTIL FURTHER NOTICE IF THERE IS A FULL SCHOOL CLOSURE DUE TO COVID PARENTS WILL GET FULLY REFUND.
